The Health Records module contains scanned documents from historical (archived) patient visits.

a tip icon Currently, this information is integrated from Hamilton Health Sciences (HHS) and Niagara Health System (NHS) health records only.

To access the Health Records module, click the Health Records option from the Clinical Modules menu.

The following table provides a summary of the key features of the Health Records module.

Feature Summary

Smart Filter

Text typed in the Smart Filter Search box narrows the list of results to display only those related to text you entered.

In the example above, the Smart Filter search box was used to narrows the list of results to display only results that included Dr. John Booth

All other results were filtered out and do not display in the Results List view until the contents of the Smart Filter are cleared.

Encounter Type

The Encounter Type filter is available in select modules and by default, is set to All Regional Encounters in order to view data from provincial repositories.

Options include: 

  • Encounter - Displays information only for the selected encounter or visit.
  • Patient - Displays all information from all Patient encounters from that source hospital system only.
  • All Regional Encounters - Displays data from provincial repositories or all visits across all hospitals available in the portal.

Documents List

A sortable list of health record documents based on your Smart Filter, Encounter and Days Back filters, and module preferences. 

Clicking any of the column headers in this view will sort the entire list by the contents under that header in either ascending or descending order.

 

Viewing Health Records Documents

To view a health record:

1. Click the row of the document you want to view. 

2. Health record documents are displayed in PDF in your browser window.

3. Close the PDF to return to the health records list.

 

Health Records Preferences

The Health Records module has it’s own set of preferences that can be accessed and configured by clicking the Preferences button preferences button in the module header or through your Global Preferences.

After updating your preference settings, click the Apply button apply button to save your changes.

The following table provides a summary of all available preference settings:

Preference Description

Default Detail Location

llows you to set the default location of the Details window: 

  • Bottom –Details are displayed below the results list.
  • Top –Details are displayed to the right of the results list. 

Encounter Type

The Encounter Type filter is available in select modules and by default, is set to All Regional Encounters in order to view data from provincial repositories.

  • Patient - Displays all information from all Patient encounters from that source hospital system only.
  • All Regional Encounters - Displays data from provincial repositories or all visits across all hospitals available in the portal.

Sort By

Customizes which column you would prefer your records to be sorted by. 

Remember to also set the Sort Direction (as shown below).

After setting the Sort By column, you can select to sort the data in Ascending or Descending order. 

a tip icon If the Sort By column uses a date (numeric) field, selecting Descending order will display the most recent order at the top of the Orders list. 

a tip icon If the contents of the Sort By column uses characters A through Z setting the Sort Direction to Ascending will order results alphabetically from A to Z. Setting the Sort Direction to Descending will order results from Z to A.
